Vocal Dojo Privacy Policy
Effective 4 November 2026. This Privacy Policy applies to the Vocal Dojo app only. The Vocal Euphoria website has its own privacy policy.
We collect only the personal information that the Vocal Dojo requires to operate, to retain your progress and to administer your account. We do not sell your information, display advertising, or use tracking or advertising cookies. Vocal Euphoria can see each account’s progress (which exercises have been completed) and uses it only to improve the Vocal Dojo.
1. Who is responsible
The Vocal Dojo is provided by Vocal Euphoria. Our Privacy Officer is responsible for your personal information and may be contacted at:
Vocal Euphoria, Attn: Privacy Officer
PO Box 30045 RPO Woodbine Heights (1500 Woodbine Ave.), Toronto ON M4C 5J2
info@vocaleuphoria.com
2. Information we collect
- Account information: your first name, email address and password. Your password is stored only in hashed form, which cannot be converted back into the password.
- Practice information: the exercises you have completed, the days on which you practiced, your best Echo result, your pitch-meter results and your settings (such as your chosen sound), so that your progress is available on each of your devices.
- Sign-in information: the date you last used the Vocal Dojo, and a random code that keeps each device signed in.
- Purchase information: a reference to your payment, the date, and your billing country and province or state (to apply the correct tax and to confirm that we can sell to you). When you start a purchase, we also record the internet (IP) address and type of browser used, and the version of the Terms of Use you accepted, as a record of your agreement. Your card details are handled by our payment processor; we do not see or store your full card number.
- Gift information: if you purchase a gift, your name and email address, the first name and email address of the recipient, and any message you include.
- Practice plan and reminders: if you set a practice plan, the number of days per week you plan to practice; if you turn on practice reminders, the days, time and time zone you choose, and a record of when you made that choice.
- Communication preferences: if you agree to receive our news, a record of when you gave your consent.
- Security records: to protect accounts from password guessing, we keep a temporary count of sign-in attempts linked to an internet (IP) address and the email address entered. These counts are deleted after 24 hours.
- Server logs: our web host may keep standard records of visits to the Vocal Dojo (internet address, pages requested, browser type) for security, for a limited time.
- Correspondence: if you email us, we retain the correspondence in order to assist you.
3. Information we do not collect
- Your voice. Check your pitch, the pitch meter and Echo use your microphone only while they are active, and the sound is analysed on your own device. It is never recorded, stored or transmitted to us.
- We do not request your date of birth (we ask you only to confirm that you are 18 years of age or older), your street address, your telephone number, or any other information that we do not require.
- We do not use analytics, advertising or social media trackers.
4. How we use your information
- To provide the Vocal Dojo: signing you in, saving your progress, and limiting each account to up to three devices at a time.
- To send the emails your account requires: purchase confirmations, password resets, gift links, renewal reminders, and notices of changes to prices or to our terms.
- To improve the Vocal Dojo: Vocal Euphoria can see each account’s progress (which exercises have been completed) and reviews combined, anonymous statistics (for example, the number of students who reach each exercise). This information is used only to improve the Vocal Dojo, and the statistics never identify you.
- To send you practice reminders, only if you turn them on: on the days and at the time you choose, except on a day you have already practiced. You may change or turn them off on the Your account page, or unsubscribe using the link in any reminder.
- To send you news, only with your consent: Vocal Dojo news (new exercises and updates) and Vocal Euphoria news (classes, workshops and events) are separate choices. You may change them on the Your account page, or unsubscribe using the link in any email.
5. Cookies and storage on your device
We use two cookies, both of which are necessary for the Vocal Dojo to function: one keeps you signed in, and one protects our forms from misuse. Your progress is also stored in your browser so that the Vocal Dojo responds quickly, and is copied to your account. We do not use any other cookies.
When you pay, you do so on our payment processor’s checkout page, which uses its own cookies under its own privacy policy. We do not track you across other websites, so we do not respond differently to “Do Not Track” browser signals.
6. Gifts
If someone gives you the Vocal Dojo as a gift, they provide us with your first name and email address so that we can deliver it. We use this information only to deliver the gift (an email identifying the giver, unless the giver chooses to pass it on themselves) and to complete your account details if you accept it. We do not add you to any mailing list.
7. Service providers
We use a small number of trusted service providers, solely to operate the Vocal Dojo:
- our payment processor, Stripe, to process payments and calculate tax;
- our web host, which stores the Vocal Dojo and your account; and
- our email service, which sends the Vocal Dojo’s emails.
These providers may use your information only to provide their services to us, except that Stripe also uses payment information for its own purposes, such as fraud prevention, security and legal compliance, under its own privacy policy. Some of them may store or process your information in the United States or elsewhere outside Canada, where it may be accessible to courts, law enforcement and national security authorities under the laws of those jurisdictions.
We do not sell, rent or trade your information, and we do not disclose it to anyone else unless required by law.
8. Children
Accounts are for adults (18 years of age or older). A child may use the Vocal Dojo through the account of a parent or guardian, with that adult’s permission and under that adult’s supervision. The Vocal Dojo does not request or knowingly collect information from children. If we learn that an account belongs to someone under 18, we will close it (see the Terms of Use regarding refunds).
9. Retention
- Account and progress: for as long as your access continues. If your access ends and is not renewed, we retain your progress for 24 months in case you return, notify you by email one month before deletion, and then delete your progress and account details.
- Purchase records: 6 years after the end of the tax year of the purchase, as required by Canadian tax law, and then deleted.
- Gift information: until the gift is claimed or refunded, and thereafter with the purchase records.
- Unsubscribe requests: we keep your email address on a do-not-send list so that you do not receive our news again.
- Backups: copies of our records are kept for up to 30 days for recovery, then replaced. Information deleted from the Vocal Dojo leaves the backups within that time.
- You may ask us to delete your account sooner (see “Your choices and rights” below).
10. Security
Your connection to the Vocal Dojo is always encrypted (https). Passwords are stored only in hashed form. An account may be signed in on up to three devices at a time, you may sign out of every device from the Your account page, and changing your password signs out every device. Access to student records is limited to Vocal Euphoria’s owner account, which is protected by a password, a code sent by email, and a password check that is repeated regularly. Our server stores your information in a private area that is not accessible from the web.
If a breach of security creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as soon as feasible.
11. Your choices and rights
- You may view and change your first name in the Vocal Dojo at any time.
- You may delete your account from the Your account page in the Vocal Dojo (see the Terms of Use regarding refunds).
- You may request a copy of the personal information we hold about you, or request that it be corrected or deleted. Requests may be made by email; we will respond within 30 days, at no cost.
- You may unsubscribe from our news and practice reminders at any time. Emails required for your account (such as receipts and renewal reminders) will continue to be sent while your account is active.
12. Questions and complaints
Please contact our Privacy Officer first (section 1), and we will do our best to resolve your concern. You also have the right to file a complaint with the Office of the Privacy Commissioner of Canada.
13. Changes to this Privacy Policy
If we change this Privacy Policy, we will post the revised version on this page with its effective date. If a change affects how we use information we already hold, we will notify you by email beforehand and, where required, ask for your consent.
